Platform administration

A guide for service operators managing organizations and platform-wide settings.

Use the dedicated administrator sign-in

Platform administrators use the dedicated admin sign-in, separate from company user accounts. A company Admin role does not grant platform access. Complete any required two-factor setup or challenge, and keep recovery credentials private. This guide is for authorized service operators; company teams normally use Workspace Settings and Billing.

Work on the correct organization

Find the organization in the admin list and open its details. Check its identity, current plan, subscription state, usage and access before acting. Available controls include suspension/restoration, plan overrides, organization email delivery and add-on grants. Review effective paid access after a plan override; a manual plan grant is an access decision, not evidence of a collected payment.

Use temporary impersonation only for an authorized support purpose, record the reason offered by the flow, and end or revoke it when finished. Actions performed during that session can affect real company records. Suspension and maintenance are different tools: suspension targets an organization, while maintenance communicates an interruption.

Review changes that affect many customers

Platform Settings controls plan pricing and visibility, quotas, signup defaults, trial policy, billing options, support/branding, sample retention, global email delivery and maintenance. Add-on administration controls the available catalogue and access configuration. Use the available previews when changing included add-ons or access rules. Check both an existing organization and a new signup scenario before publishing a commercial change.

Plan limits are applied to existing organizations as well as future ones. A zero plan limit means unlimited, so it is not a way to disable creation. Turning off public signup prevents new public registrations. Turning off online payments changes new purchase actions to the configured contact path; it does not mean an existing invoice was canceled.

Global maintenance blocks tenant work and portals while public marketing, documentation, contact and admin access remain reachable. The global email switch is the master control. An individual organization can also be muted for automated email, while account-recovery/security messages and deliberately composed admin mail have specific exceptions to the organization mute. The platform-wide switch still blocks them.

Handle enquiries and operational work

The admin contact inbox contains public enquiries, including data-deletion requests. Review the message, maintain its status and internal note, and act through the appropriate authorized channel. The support-ticket area lets the service team reply and change ticket status. Organization email composition requires checking recipients, subject, content and attachments before sending.

Operational job controls show scheduled work and allow supported manual triggers. Read the job’s purpose and recent result before triggering it; rerunning a job can send notifications or change records. Use audit history to explain an action later. Do not use a broad platform switch to solve a single customer’s configuration issue when a targeted control exists.
