Inventory Management

Understand stock balances, the movement ledger, adjustments, consumption, wastage, returns, and how they affect reports.

Use this when: You want to know how much stock you have on hand and track every movement in and out.

Inventory is ledger-backed. Your current balance is the running total of every recorded movement — stock in, issue, consumption, wastage, return, and adjustment — so the numbers are always explainable.

How Stock Is Tracked

Every stock change is recorded as a movement. Your current balance is simply the sum of those movements, which means you can always trace why a number is what it is.

The system prevents stock from going negative and guards against the same delivery, issue, or report being counted twice.

Movements to Balance

The stock ledger

Inbound movements raise the balance, outbound movements lower it, and the balance feeds reports and low-stock alerts.

Operating Rules

Treat manual adjustments as exceptional, and always write a clear, specific reason.

Verify deliveries only after received quantity and condition are checked.

Use requisitions and issues when moving stock from the store to a site.

Use consumption logs to record actual usage, wastage, and returns.

Review low-stock and consumption reports before re-ordering.
